Lead Group Set Up

Created by Daniel Beckett, Modified on Wed, 22 Mar, 2023 at 11:43 AM by Daniel Beckett

You'll add your new enquiries into a lead group. A lead group provides you with some standard fields (i.e Name, DOB, Phone number, Email, Address) so that you can save details about the enquiry straightaway. You can then add ~ 50 extra fields to hold additional information.

You can use FLG to process different types of enquiries, usually, you'd set up a Lead Group for each, this way, a mortgage enquiry would have things like 'Mortgage Type. Mortgage amount, employment details' set up as additional fields in the mortgage group. Whereas an Insurance lead group may have 'Renewal date, Premium, mileage'

To set up a new lead group just head to Settings> Lead Group [Add New Lead group].

Once you've set up a lead group you can then click Edit Group

Here, you can hide fields, add additional fields, set fields as 'required' and decide what information is shown when you view a lead.

There's quite a few settings & options so we'll explain each one below.

Under ‘1’, General settings;

1.1 - Give your Lead Group a name. if you’re capturing details of mortgage applications, your Lead Group might be called ‘Mortgages’. If your capturing enquiries about 'Wills' you'll call your lead group 'Wills'.

1.2 - By default any field that is marked as type 'Hide', or when a user does not have permission to view will not be included when a lead is copied. These options allow you to override the default behaviour and copy the hidden fields as well as all other lead data.

1.3 - See the de-duplication section for further information on this. This section tells the group to follow these settings.

1.4 - This is only relevant if you are using the platform to deliver leads to Referral Partners. Please see that section for further information.

1.5 - These options let you put the selected information on the summary of the lead, so you can quickly access the information when selecting 'View Lead' from 'Search Leads'.

Under ‘2’, Standard Fields;

2.1 – These are the FLG labels for data you are capturing ‘First Name’ and ‘Last Name’ aren't displayed here as they are compulsory fields.(Every lead that is added must have a fist and last name)

2.2 – Here you can select if these standard fields are set as:

[ Optional ] - If a lead is added from a webform, an email / SMS, a partner delivery, imported in from a spreadsheet OR added manually, any fields set to 'optional' will not be required
[ Required ] - If a lead is added from a webform, an email/ SMS, a partner delivery, imported in from a spreadsheet OR added manually, any fields set to 'Required' will have to be provided.
[ Internal optional ] - Internal fields are not referenced on a webform or in the partner portals. However if a lead is added by a user, optional fields wont require the user to add these details.
[ Internal required ]- Internal fields are not referenced on a webform or in the partner portals. However if a lead is added by a user, this option requires the user to add any required fields, Once a lead is received and a user tries to edit the lead details, Internal fields that are set to required will need to be completed.
[ Hide ] - Any fields set to 'Hide' won't be shown on webforms, in the partner portal, via [Edit] on a lead or when creating a [New Lead]. These are still shown on the [Details tab] from a lead if the user has the permission to view hidden fields.

2.3 – As in 1.4, this option lets you put the information on the Lead Summary. (that's the main screen when you view a lead)

2.4 – This will allow you to validate UK phone numbers or post codes, or turn off this validation. Leads will be rejected if these are ticked and the leads being entered do not meet the criteria.

UK Phone numbers are 10 or 11 digits long excluding spaces and start with a 01, 02, 03, 08 or 07 etc. Spaces are ignored. NB: 076 numbers are not accepted as they are not mobile phone numbers and can be used for missed call spam activities
Post Code validation also ignores a spaces and again checks for the correct format such as BB12 7NG or E1C 7NN etc

Under ‘3’, Additional Fields;

If you need to capture information which isn't in the standard fields in section 2, this is the place to add your additional fields.

3.1 – This is where to name the field. This could be ‘Mortgage Balance’, ‘Number of Claims’, 'Gender' ‘Smoker’ – anything you like really!

3.2 – This gives you the options to configure the field as per 2.2. Choose whether this information should always be submitted, or is optional.

3.3 – Here you can select the type of data to be entered, you have lots of options:

A [selection]]field. - If you choose selection, a box will appear that allows you to enter comma separated items to select from a drop down list. So you might choose ‘Selection’ in the data type, then put ‘Option 1, Option 2, Option 3’ in the new box that appears to be able to select from the those three options when entering a new lead.
[Currency] - A valid currency will need to be added like so : 220.00
[Decimal] - 0:00
[Integer] - Only a whole number can be added i.e 1,2,3,4
[Text] - This will provide a small text box that a user can add information to.
[Long Text] - This will provide a large text box that a user can add information to.
[Date] - A valid date will need to be added in the format dd/mm/yyyy or yyyy-mm-dd f
[Time] - A valid time will need to be added in the format hh:mm:ss or hh:mm
[Uk Phone number] - A valid phone number will need to be added (10 or 11 digits and 01, 02, 03, 08 or 07)
[UK Postcode] - A valid Postcode will need to be added
[Email Address] - A valid email address will need to be added. This is simply in the format___@-___.com (.net.co.uk etc?)
